What modern secretaries must be able to do today
Whether grell-spotted nipples with red-painted nails or Mrs. Moneypenny, longing for James Bond. Whether a patient antechamber bead or a frightening dragon, no profession is as cliché-laden as that of the secretary. And in no other profession do clichés and reality lie so far apart.
"Mrs. Müller, for dictation please" - hardly a secretary has to listen to this saying today. the typical secretary equipment of yesteryear. Stenoblock, typewriter and carbon copy paper, has long been replaced most modern devices such as voice recorder, computer and copier. And so the requirements have changed tremendously. If you want to be a secretary today, you have to be able to do more than just smile, look attractive, and make phone calls. A glance at current job advertisements shows: In addition to very good computer skills, business background knowledge or, even better, a commercial apprenticeship - and foreign languages are required. One should master at least one, whereby sure English in writing and writing is already presupposed as standard. What a modern secretary needs to know
"The modern secretary is an all-rounder, far away from coffee cooking and copying files" - says one who knows the job from many years of experience: Tanja Bögner is herself assistant to the board of the largest German pension fund and became 2006 in a competition to Germany's best secretary selected. Soft skills are also important: qualities such as loyalty, discretion, sense of duty, team spirit and sense of order rank high on the wish list of the bosses. So she has to be able to find every last note and every completed process for inquiries from the boss at any time. And even under the most time pressure, she should be able to book a business trip or write an important letter.
Communication as a manager
But the most important thing is the communication desk: all the staff's inquiries, customer complaints and callers' appointments come together on the desk in the hall. And the assistant alone has to decide which of these are important - and which she is friendly, but determined. At the same time, she needs pointed antennas in order to anticipate even the smallest wish of her boss as early as possible: for these tasks, she needs a thick coat and fine feeling alike - a constant balancing act! After all, real managerial qualities such as assertiveness, independence and organizational talent are also in demand. A secretary also needs to read balance sheets, write business reports, be familiar with marketing, carry out projects, monitor budgets and delegate work. No wonder that you are also more and more often found in job advertisements, the job title Office Manager.
